What To Do Before, During, and After Installation and Training | v0.11 (Practice section redesign + bullet intros) | Published by PAES Productions, LLC
Nothing here must be done before training, but these are the planning decisions and physical setup pieces you'll want to think about as you prepare for your PAES Lab. Check off each section once you've reviewed and addressed it.
Successful PAES Labs are staffed with teachers and assistants who are comfortable removing their Teacher hat and stepping into the role of Employer / Supervisor, where students become PAES Employees.
PAES is not a classroom… it's a job!
Successful PAES Labs are staffed with those who believe that students are capable of performing beyond current expectations and what traditional testing has revealed about them.
We truly cannot know what students can do until… we give them a chance to try!
Successful PAES Labs have at least one PAES staff member who is assigned to manage all aspects of the PAES Lab for all PAES sessions. Responsibilities include:
PAES Employees are more likely to demonstrate their full potential when assigned to participate in PAES every day for at least one semester. PAES Employees need to spend a minimum of 60 to 80 hours in the PAES Lab to obtain sufficient assessment data to identify employment potential.
The recommended pupil-teacher-ratio (PTR) during the first semester of PAES implementation is one trained staff person for every 3 to 5 PAES Employees. This allows staff to become proficient with PAES assessment procedures and familiar with all 264 PAES Jobs.
Once staff are proficient, one staff member for every 4 to 5 PAES Employees with mild to moderate disabilities is a manageable PTR. PAES Employees with more significant needs tend to require more one-on-one assistance — additional support is needed when using PAES Subtask Assessment.
Internet access is required for computers and mobile devices. The IT-whitelisting and login work happens on the "Required for Training" tab — that's where the actual must-do items live. This section is just to remind you that connectivity needs to exist.
Plus a pegboard or tool cabinet for PAES hand tools (example).
You'll need 6 to 8 ft of standard-height counter space for: cash register, microwave, toaster oven, induction cooker, electric grill, electric can opener, electric mixer, refrigerator, iron and ironing board.
Place the PAES Supervisor desk in an area that isn't the central focus when entering the room. The goal is to make the room look as much like a real job setting as possible, rather than a typical classroom.
Remove as many chairs as possible. PAES Employees stand while working on most jobs to replicate entry-level community jobs. Chairs are needed only for: Sewing machine, Computer, and Ten-key calculator jobs.
Arrange counter-level tables in each component area so PAES Employees can stand while working.
If you don't purchase a tool cabinet, you can build a tool wall in the Construction Industrial area:
Prepare the workbench and install both vises. The workbench is included with your lab purchase and must be assembled by school personnel.
Contact your sales representative (or sales@paesauthor.com) for example job-box placements and typical room layouts. You can also find them in the PAES-Scan Web App under Downloads > PAES Lab Setup.
Pick the option that matches your lab. The required computers will appear below.
These four steps must be completed before your PAES Training. Each one directly affects whether we can train your team on the PAES-Scan apps. Check each off as you complete it.
If your IT department does not whitelist the PAES-Scan URLs and open port 8000 before training, the PAES-Scan Web and Mobile Apps will not work — and we may not be able to deliver your training.
Forward the URL list below to your IT department and ask them to whitelist each one and open port 8000 through your firewall.
Have your IT team scan the QR code or click below. We'll walk through whitelisting, port 8000, and any firewall questions together.
Schedule Now →You'll need 1–2 tablets for your Supervisors, plus an optional 3rd for the Check-In Station.
Specs: iPad with iOS 15.5 or later, or Android tablet with Android 6.0 (Marshmallow) or later. Screen size must be 9.7" or larger. The PAES-Scan app does not work on phones.
Search for "PAES Scan" in the App Store or Google Play Store, or use the buttons below.
Once your IT department confirms whitelisting is done, log into the Web App at app.paesscan.com using the credentials we provided in your setup email.
If your login is successful, whitelisting worked. If you can't log in, your URLs probably haven't been whitelisted yet — go back and follow up with IT (or scan the QR code in Step 1 to schedule help).
This tab covers the local files and software each Employee Computer needs for the eight Computer Technology units (DE, WD, MT, EM, IT, IM, PP, DP).
The PAES-Scan Setup tab covers Web App admin (shifts, Employees, QR codes) and outlines practice steps for the Mobile App.
This is the step that makes DE, WD, MT, IM, PP, and DP jobs work. Repeat on every Employee Computer.
Software requirements: Windows 11, Microsoft Office 365 (Word, Excel, PowerPoint) build 16+, Microsoft Paint 11.2411+. Update Employee computers if needed before starting.
Click the ⋮ next to your lab name. Component Manuals and CT Master Files (bolded below) are what you'll need on this tab.
DE, WD, MT, IM, PP, DP, IM4 Documents. 📁 × 7 → 🖥️Need to restore a folder? If a PAES Employee saves over a Master file, repeat steps 1–4 above, delete the affected folder from the Desktop, then re-copy it from the Computer Tech Master folder.
PAES Computer Technology jobs assume Word, Excel, PowerPoint, and Paint are easy for Employees to find. Add Desktop icons and pin Paint to the Taskbar.
The Computer Technology Manual contains 8 units — DE, WD, MT, EM, IT, IM, PP, DP. Each unit has an Instructions to Evaluator on its first page. Review all 8 before evaluating.
📍 The Component Manuals are in the Web App — click the ⋮ next to your lab name → Component Manuals. (See the Web App dropdown reference in Step 1.)
Three small storage boxes need labels. Unlike Consumer or Construction shelf signs, these are stuck to small job boxes (paper-product cartons or similar). You may have spare boxes from the stopwatch shipment (if you wall-mounted your stopwatches), the General Nail / Screw Supply boxes (if those are stored in a tool cabinet instead), or any reusable paper-product carton.
The IT4 job uses monster.com. Pick one of the two approaches:
📍 For more setup detail, see the IT Component Manual (in the Web App via ⋮ → Component Manuals).
Before assigning Digital Photo jobs, walk through the Picture Import settings on each Employee Computer.
📍 See p. 3 of the DP — Digital Photo manual: Practice Settings for Importing PAES Employees' Pictures. The Component Manuals are in the Web App via ⋮ → Component Manuals (see the dropdown above).
Place 60 envelopes and 60 sheets of unfolded paper in each of the MT1 and MT2 Job Boxes. The envelopes and ream of paper are in the MT Supplies box.
Each item appears once with all PAES Jobs that need it. Items pre-checked because they ship with your lab — uncheck any you find missing or out of stock.
Follow the Cash Register Setup Instructions (also in your Important Documents envelope). Some labs find it useful to attach a printed copy to the wall near the register for quick reference.
📍 The full Business/Marketing Component Manual is also in the Web App via ⋮ → Component Manuals.
The Money Concepts (MC) cash box uses the same change/bills set as the cash register but is a smaller standalone unit.
The ten-key calculator is packed separately. Install the thermal paper tape and apply the correct calculator settings before any TK jobs run.

The workbench is included with your lab purchase but must be assembled by school personnel. Install both vises as part of assembly.
📍 Reference: see the Construction/Industrial Component Manual in the Web App.
Post each shelf sign and place the matching items on the shelf below it.
If your lab doesn't have a "Tested Outlet for PAES GFCI" sign on the wall outlet you'll use for EP Projects — or you're switching to a different outlet — verify the outlet with the included Outlet Tester before running any EP jobs.
For PAES Employees who do SN1 or SS5.
WP6 includes an optional wood-staining variant. Stain has odor and ventilation requirements that aren't workable for every facility — some labs choose not to run WP6, and that's fine.
Tell us your plan. If "Yes," the wood stain will appear in the Replenish list below as something to purchase.

Confirm each appliance is in working condition before assigning related jobs.
Use the Sewing Machine Parts, Threading Instructions, and Singer 4411 Instructions Manual from the Important Documents envelope.
Apply the labels provided in the box to all 23 food containers, following the size noted on each label sheet. Placement (front vs side) depends on how you'll arrange the containers on the shelf.
⛓️ Requires Step 3 (Label the 23 food containers) first.
11 of the 23 labeled containers (plus the cornstarch shaker) are filled here from items in your shipment. The remaining 12 containers are filled from purchased items in Step 6.
Most CS items are NOT in your shipment — purchase them before assigning related jobs.
Most items below can be ordered in one go via the Amazon Shopping List below — including all required food items, plus paper goods and disposable supplies for FM6, KA, and FP jobs. The list includes notes on recommended quantities and more.
Items not in your shipment must be purchased before any FM6, KA, or FP jobs can be assigned.
These are perishable / fresh items the supervisor buys before each session that uses them.
Each item appears once. Job pills show every PAES Job that needs this item — leaving an item unchecked blocks all of those jobs.

⛓️ Requires Step 5 (Purchase consumables) first.
The 23 food containers labeled in Step 3 split into two groups: 11 are filled from the shipment in Step 4. The remaining 12 below need to be filled with items you've purchased.
Use the labeled bags in the FW1–FW6 Job Box. Fill with the exact amounts shown below.
Your Important Documents envelope contains the items below. Review each and store them where you can find them again.
Keep this certificate in a safe place for future reference. This serial number is required for Software App Setup and Registration.
The following four letters cover your rights and responsibilities as a PAES customer. Review them together and keep on file.
Set up the PAES-Scan Web App and Mobile App for your lab. You'll want to have completed the four pre-training items on the Required for Training tab, and should wait to complete your official PAES Training, before working through this one.
Have your IT department or technology coordinator scan the QR code or click the button. We'll walk through the Web App, Mobile App, and any login questions.
Schedule Now →Once your tablets arrive and the Mobile App is installed, open the app and sign in on each Supervisor tablet to confirm the whole pipeline (whitelist → app → credentials) works end-to-end.
The PAES-Scan App has two modes: Training (for role-playing and practice) and Production (for real Employees once training is complete). Use Training to get familiar with workflows before going live.
Reference your PAES Video Participant's Guide (also accessible from the Web App via the "Training" button).
Split up into pairs and designate a supervisor and an employee for role playing. Each person should practice both roles throughout the training session.
📍 Image of the Employee Work Procedure goes here. (Once you save it to 03_Reference/Employee_Work_Procedure.png I'll embed it.)
If prompted with this screen, register your device with your PAES Lab Serial Number.
From the login screen, press Clock-In / Clock-Out.
Scan the Employee's QR Code.
Press "Clock In Now" after hearing the audio prompt indicating the QR code was scanned successfully.
To clock out, the Employee scans the QR code again and presses the "Clock Out Now" button.
Log in to app.paesscan.com with the credentials we provided in your setup email, then add your lab's people and schedule.
For the full walkthrough, see the Video Participants Guide and Training Video 13 — both accessible from inside the Web App via the "Training" link at the top right.
Day-1 orientation walks new PAES Employees through how the lab works as a simulated workplace. Use this reference guide to plan and run the orientation — discuss the workplace expectations, run the four Group Practice Activities, and (optionally) demonstrate the construction hand tools. This tab is informational; mark the orientation as conducted on the Prepare for Employees tab.
Walk through these workplace expectations with the group at the start of orientation.
Run these four practice rounds with the group on Day 1. Each round walks Employees through one stage of the work procedure.
Prepare an optional hand tool demonstration for PAES Employee Orientation at the beginning of the semester. Identify each part using the Construction & Industrial Equipment Manual.
Final preparation before PAES Employees walk through your door. Review your training materials, get your Job Assignment Wizard, Work Folders, and Lab Orientation ready, and check your readiness with the assessment forms.
Refresh what you've learned during training. The training videos and Component Manuals live inside the Web App.
📍 The Component Manuals link will populate with your Lab ID once you enter it at the top of the page (or automatically when this form is embedded in your PAES-Scan Web App).
Check how you're doing with these two self-assessment forms — both available from the PAES-Scan Mobile App's Support section.
In the Mobile App, navigate to the Support section on the Home Screen and click the third circle: Assessing your PAES Lab.
A live snapshot of your lab setup progress. Items still to do are listed by tab; PAES Jobs blocked by missing items appear with their level color. Click Download Summary to save a self-contained HTML report for sharing with your team or attaching to a support ticket.
Click any job code to see what's blocking it.
Optional but recommended — these details appear at the top of your downloaded summary.
Each progress bar below expands to show the items still to do in that category. Default-checked shipment items (already received) are excluded from the percentages.
Jobs are organized by component, then by unit. Click a component to expand. Toggle the switch above to show what's blocking each job inline.
