Staff & Facility Needs

Nothing here must be done before training, but these are the planning decisions and physical setup pieces you'll want to think about as you prepare for your PAES Lab. Check off each section once you've reviewed and addressed it.

Staffing & Enrollment

Staff Selection

Successful PAES Labs are staffed with teachers and assistants who are comfortable removing their Teacher hat and stepping into the role of Employer / Supervisor, where students become PAES Employees.

PAES is not a classroom… it's a job!

Successful PAES Labs are staffed with those who believe that students are capable of performing beyond current expectations and what traditional testing has revealed about them.

We truly cannot know what students can do until… we give them a chance to try!

Staff Consistency

Successful PAES Labs have at least one PAES staff member who is assigned to manage all aspects of the PAES Lab for all PAES sessions. Responsibilities include:

  • Manage equipment and materials inventory for the 264 PAES Jobs
  • Monitor supplies and Job Box contents
  • Monitor assessment procedures conducted by all PAES staff
  • Oversee PAES-Scan setup on mobile devices and web applications
  • Oversee use of PAES assessment reports for transition planning

Student Scheduling Recommendations

PAES Employees are more likely to demonstrate their full potential when assigned to participate in PAES every day for at least one semester. PAES Employees need to spend a minimum of 60 to 80 hours in the PAES Lab to obtain sufficient assessment data to identify employment potential.

Pupil-Teacher Ratio

The recommended pupil-teacher-ratio (PTR) during the first semester of PAES implementation is one trained staff person for every 3 to 5 PAES Employees. This allows staff to become proficient with PAES assessment procedures and familiar with all 264 PAES Jobs.

Once staff are proficient, one staff member for every 4 to 5 PAES Employees with mild to moderate disabilities is a manageable PTR. PAES Employees with more significant needs tend to require more one-on-one assistance — additional support is needed when using PAES Subtask Assessment.

Internet access is required for computers and mobile devices. The IT-whitelisting and login work happens on the "Required for Training" tab — that's where the actual must-do items live. This section is just to remind you that connectivity needs to exist.

Plus a pegboard or tool cabinet for PAES hand tools (example).

Counter-Top Equipment (in shipment)

You'll need 6 to 8 ft of standard-height counter space for: cash register, microwave, toaster oven, induction cooker, electric grill, electric can opener, electric mixer, refrigerator, iron and ironing board.

General PAES Lab Layout

Place the PAES Supervisor desk in an area that isn't the central focus when entering the room. The goal is to make the room look as much like a real job setting as possible, rather than a typical classroom.

Remove as many chairs as possible. PAES Employees stand while working on most jobs to replicate entry-level community jobs. Chairs are needed only for: Sewing machine, Computer, and Ten-key calculator jobs.

Arrange counter-level tables in each component area so PAES Employees can stand while working.

Tool Wall (Low-Cost Option)

If you don't purchase a tool cabinet, you can build a tool wall in the Construction Industrial area:

  • One 4 × 8 (or smaller) sheet of pegboard
  • 5 pine 1 × 2 × 8 boards as framing
  • Screws to fasten securely to the wall
  • Tool hooks for each tool
  • Lay pegboard flat, arrange tools on it, trace around each tool with a marker so it's obvious when one is missing, then hang.

Workbench Setup

Prepare the workbench and install both vises. The workbench is included with your lab purchase and must be assembled by school personnel.

Computer Software & Hardware Requirements

Software

Mobile Devices (for Supervisors & Check-In Station)

  • iPad (iOS 15.5+) or Android tablet (v6.0 Marshmallow+) per supervisor. Must be 9.7" screen or larger.
    How many supervisor tablets do you need?
  • Recommended: dedicated tablet for the Check-In Station.

Computer Quantity — Based on Lab Size

Pick the option that matches your lab. The required computers will appear below.

For 1–3 PAES Employees: 1 PC required. Check the box if you have it on hand.
For 4–5 PAES Employees: 2 PCs required. Check the box for each one you have on hand.
For 6–8 PAES Employees: 3 PCs required. Check the box for each one you have on hand.
For 9–10 PAES Employees: 4 PCs required. Check the box for each one you have on hand.

Required for Training

These four steps must be completed before your PAES Training. Each one directly affects whether we can train your team on the PAES-Scan apps. Check each off as you complete it.

Whitelist your URLs first — this step is critical

If your IT department does not whitelist the PAES-Scan URLs and open port 8000 before training, the PAES-Scan Web and Mobile Apps will not work — and we may not be able to deliver your training.

Purchase your PAES tablets

You'll need 1–2 tablets for your Supervisors, plus an optional 3rd for the Check-In Station.

Specs: iPad with iOS 15.5 or later, or Android tablet with Android 6.0 (Marshmallow) or later. Screen size must be 9.7" or larger. The PAES-Scan app does not work on phones.

Install the PAES-Scan Mobile App on each tablet

Search for "PAES Scan" in the App Store or Google Play Store, or use the buttons below.

Confirm whitelisting worked — log into the Web App

Once your IT department confirms whitelisting is done, log into the Web App at app.paesscan.com using the credentials we provided in your setup email.

If your login is successful, whitelisting worked. If you can't log in, your URLs probably haven't been whitelisted yet — go back and follow up with IT (or scan the QR code in Step 1 to schedule help).

Component Setup

Download Computer Technology Master Files to each Employee Computer

This is the step that makes DE, WD, MT, IM, PP, and DP jobs work. Repeat on every Employee Computer.

Software requirements: Windows 11, Microsoft Office 365 (Word, Excel, PowerPoint) build 16+, Microsoft Paint 11.2411+. Update Employee computers if needed before starting.

  1. Download CT Master Files — a zip will save to your Downloads folder.
  2. Extract all files from the zip and save them to the Desktop. 📦 → 🖥️
  3. Open the Computer Tech Master folder on the Desktop. 📂 Computer Tech Master
  4. Copy each of these folders to the Desktop: DE, WD, MT, IM, PP, DP, IM4 Documents. 📁 × 7 → 🖥️
  5. Open the EMPLOYEE FOLDERS folder on the Desktop and rename each sub-folder with a PAES Employee's name (e.g., rename "1 Employee" to "Susan"). PAES Employees save their work in their individual folders. 📁 1 Employee → 📁 Susan
  6. Repeat steps 1–6 for each Employee Computer.
📝 Note: These files and other resources are also available by clicking the next to your lab facility name to find the dropdown shown above.

Need to restore a folder? If a PAES Employee saves over a Master file, repeat steps 1–4 above, delete the affected folder from the Desktop, then re-copy it from the Computer Tech Master folder.

Add software shortcuts to each Employee Computer

PAES Computer Technology jobs assume Word, Excel, PowerPoint, and Paint are easy for Employees to find. Add Desktop icons and pin Paint to the Taskbar.

Microsoft Office (Word, Excel, PowerPoint) → Desktop
  1. Right-click the Windows icon.
  2. In the search bar, type Microsoft Word.
  3. Right-click on Microsoft Word and drag the icon to the Desktop.
  4. Repeat for Excel and PowerPoint.
Microsoft Paint → Taskbar
  1. Click Start → All Programs.
  2. Open the Accessories (or Windows Accessories) folder.
  3. Right-click on Paint → Pin to Taskbar.

Read "Instructions to Evaluator" for each of the 8 CT Units

The Computer Technology Manual contains 8 units — DE, WD, MT, EM, IT, IM, PP, DP. Each unit has an Instructions to Evaluator on its first page. Review all 8 before evaluating.

Place lab signs on small storage boxes

Three small storage boxes need labels. Unlike Consumer or Construction shelf signs, these are stuck to small job boxes (paper-product cartons or similar). You may have spare boxes from the stopwatch shipment (if you wall-mounted your stopwatches), the General Nail / Screw Supply boxes (if those are stored in a tool cabinet instead), or any reusable paper-product carton.

    • Source materials for MT1, MT2 (15 unfolded letters per job)
    • Disposal target for MT1, MT2, MT6, IT1–IT6, DE1–DE6, WD1–WD6 printed copies
    • Source materials for MT1, MT2 (15 blank unsealed envelopes per job)

Information Technology 4 — Set up a Monster.com account

The IT4 job uses monster.com. Pick one of the two approaches:

  • Option A — Single PAES Lab account (simpler): Create one Monster.com account for the lab. Write the username and password on an Employee IT4 Job Sheet, make copies, and place them in the IT4 Job Box.
  • Option B — Per-Employee accounts: Create one account per Employee and write the credentials on the inside of each Employee's Work Folder.

DP

Digital Photo — Configure Picture Import settings

Before assigning Digital Photo jobs, walk through the Picture Import settings on each Employee Computer.

Mailing Technology — Stock MT1 and MT2 Job Boxes

Place 60 envelopes and 60 sheets of unfolded paper in each of the MT1 and MT2 Job Boxes. The envelopes and ream of paper are in the MT Supplies box.

Set up the Cash Register

Follow the Cash Register Setup Instructions (also in your Important Documents envelope). Some labs find it useful to attach a printed copy to the wall near the register for quick reference.

The Money Concepts (MC) cash box uses the same change/bills set as the cash register but is a smaller standalone unit.

Test the wall outlet for EP Projects (PAES GFCI sign)

If your lab doesn't have a "Tested Outlet for PAES GFCI" sign on the wall outlet you'll use for EP Projects — or you're switching to a different outlet — verify the outlet with the included Outlet Tester before running any EP jobs.

Test login from each Supervisor tablet

Once your tablets arrive and the Mobile App is installed, open the app and sign in on each Supervisor tablet to confirm the whole pipeline (whitelist → app → credentials) works end-to-end.

Practice in the Training Environment

The PAES-Scan App has two modes: Training (for role-playing and practice) and Production (for real Employees once training is complete). Use Training to get familiar with workflows before going live.

Set up Shifts, Employees, and Supervisors on the Web App

Log in to app.paesscan.com with the credentials we provided in your setup email, then add your lab's people and schedule.

For the full walkthrough, see the Video Participants Guide and Training Video 13 — both accessible from inside the Web App via the "Training" link at the top right.

  • Create your shifts (your training/class schedule)
  • Add your PAES Employees and assign them to shifts
  • Add your Supervisors and set their permissions
  • Generate QR codes for each Employee — print and attach them to Employee badges or Work Folders

Prepare a PAES Lab Employee Orientation

Day-1 orientation walks new PAES Employees through how the lab works as a simulated workplace. Use this reference guide to plan and run the orientation — discuss the workplace expectations, run the four Group Practice Activities, and (optionally) demonstrate the construction hand tools. This tab is informational; mark the orientation as conducted on the Prepare for Employees tab.

A. Explain the PAES Lab is set up to be as much like a real Job as possible

Walk through these workplace expectations with the group at the start of orientation.

  • Employees in the community often use Timing Software to Clock In and Clock Out.
  • Entry-level Employees typically stand while working.
  • Employees do what supervisors ask them to do.
  • Employees use their time wisely and keep busy working.
  • Employees are respectful and considerate of co-workers.
  • Employees are compensated for their work:
    • 20 points once the Job is performed correctly
    • 5 points each time the Job is attempted with errors
  • Each PAES Lab sets up a compensation strategy that works for their PAES Employees.

B. Group Practice Activities to introduce PAES Work Procedure

Run these four practice rounds with the group on Day 1. Each round walks Employees through one stage of the work procedure.

Final preparation before PAES Employees walk through your door. Review your training materials, get your Job Assignment Wizard, Work Folders, and Lab Orientation ready, and check your readiness with the assessment forms.
